Step 7 Preparing your property for tenancy

Before you let your property for the first time you must obtain a professional and comprehensive inventory. This will set out the condition and contents of the property. Affinity estate agents will organise a professional inventory company to carry out an extensive inventory & check in report which will be emailed to you & the tenant in pdf format.

Long term tenancies (6 months or more) Unlike other agents we will take care of checking that the tenants have set up accounts with utility companies, telephone supplier, council tax and TV licensing. In fact we use a specialist affiliate company who also try & get the new tenants the best deal possible.

Short term tenancies (up to 6 months) You will retain responsibility for the utility accounts, council tax and TV licence, as these costs are included in the rent. The tenant will be responsible for any telecommunication services.

Step 8 Marketing your property

To find your perfect Tenant you need to give your property maximum exposure, promoting it across a wide range of media.

Step 12 Offer agreed

Once you accept an offer we will do the following, regardless of whether or not your property is managed:

Collect references from the tenants With your let now agreed & a holding fee deposited one of our two affiliate operational partners Home let & rent 4 sure will conduct a thorough & professional credit score check, landlord referencing & employment check for affordability, requests will also be made for Photo ID and all relevant documents such as bank statements

Arrange signing of Tenancy Agreement After the prospective tenant’s referencing is completed contracts will be signed and we progress with the move in. During the course of the move in process we will ask for the balance of any outstanding deposit payment which will be held in a designated government approved scheme. We will also ask for the first month’s rent which will be forwarded to you at the first opportunity.

As your selected representative we will ensure that the contract is signed in the correct legal form. When finalised we will provide your tenants with keys, fobs, access codes, swipe cards where appropriate and move them into their property.

Collect moving-in payment (rent + deposit) Our new deposit policy is 1 months’ rent if the tenants take out a tenancy insurance for the year for £99 from our affiliate company Home let but 6 weeks if they choose not to take out the insurance.. For your added peace of mind, where applicable we can register this with a deposit protection scheme, resulting in a faster and more efficient deposit release process at the end of the tenancy.
But 6 weeks if they choose not to take out the insurance.

New immigration checks for agents and landlords The Immigration Act 2014 places new restrictions on illegal immigrants accessing private rented accommodation. By law, landlords will be required to carry out document checks to identify if a potential tenant has the right to reside in the UK, before they grant a tenancy. Landlords will also be required to keep appropriate records during the tenancy and for at least twelve months after the tenancy has ended. We can carry out the checks on behalf of a landlord, but are advised to confirm their responsibilities in writing. Where an agent has accepted responsibility for compliance with the new rules, the agent will be the liable party in place of the landlord

Arrange professional cleaning of your property

Step 13 Managed Landlords

We will inform your tenants that we will be their direct contacts throughout the duration of the tenancy. Tenants will be provided with a ‘Welcome Pack’ which will include information such as; an emergency out of hours number, a standing order form to direct rent payments to our account, a copy of the property inventory and prescribed sheets showing where and when the deposit has been registered as required by law.

Step 14 Let Only Landlords

We will inform the tenants that you will be their direct contact for all post move in tenancy queries. Tenants will be provided with a ‘Welcome Letter’ which will clearly detail your preferred contact numbers, email addresses and your residential address. We will where appropriate, provide the tenant with a standing order form in order that they can make payments direct to your account.Please note that should you require help with the renewal of the tenancy then we will be glad to assist.

Step 15 Completion

Upon completion, keys will be released to the inventory clerk or the tenant on moving-in day.

For managed properties, we will provide the tenant with contact details of their dedicated Property Manager.
